Volunteer Opportunities

 

Underwriting Sponsorships

Committee is responsible for soliciting and securing funds to underwrite specific expenses of the gala. The majority of our funds will be generated by this committee. To achieve success this committee will focus on working local contacts by developing new relationships with potential donors.  Other responsibilities include sending thank you notes to donors, obtaining names of gala attendees from donors and sponsors to give to the registration committee and obtaining logos from donors when needed for printed materials.

 

In Kind Gifts – Auction/Mystery Gift Box (MGB)/Raffle

Solicits and secures donations for items from all types of companies to be used in our auction, MGB’s and raffle and as gaming prizes the night of the gala.  Items will also be used as door prizes at happy hours and may be used as auction items at our pre-gala event(s).  Responsibilities will include grouping items into packages, making displays for auction items, boxing up and displaying the MGBs, manning the auction at the gala (including auction check-out at end of the night), and sending thank you notes to donors.

Gaming/Revenue Enhancers

Responsibilities include developing ideas for new revenue enhancers and negotiating contracts and/or donations with those companies providing the revenue enhancers, i.e. casino and photo booth providers.  Committee will also be responsible for sending thank you notes to companies providing services. 


Public Relations

This committee works to provide a positive image and awareness of the events and gala in the public and private sector of the community.  They are responsible for creating and distributing press releases in a timely manner for volunteer orientations, WUW announcements, pre- and post-gala events to media outlets (print, web, radio, television, etc.). 

Venue/Decorations

Responsible for coordinating the following: site planning, on-site activities during gala set-up and tear-down, transportation and logistics.  Will meet with the site personnel to determine any restrictions, fees, logistical constraints, legal and insurance matters.  Will determine food and beverage needs for Gala and will negotiate and finalize the contract with caterers and beverage suppliers.

Committee is also responsible for incorporating the theme of the gala throughout the venue. Committee duties include securing table centerpieces, flowers, linens, chair covers and other decorative item preferably through donations.  May be responsible for working with local artists group to create a stage backdrop and/or table decorations.

Volunteer Recruitment/Social

This committee is responsible for securing volunteers and placing them on committees during the year as well for volunteers only needed the night of the gala.  The committee will organize monthly social events, including happy hours and community outreach events.  The committee will be responsible for obtaining appetizers and/or other food for each event and will send out invitations via Eventbrite for all events.  The chairs will also maintain a roster of all volunteers. Lastly, the committee is responsible for writing and sending thank you notes to those venues that accommodate us.

Social Media & Website

This position will be responsible for communicating our mission and activities through the following social media outlets:  Facebook, Twitter & LinkedIn as well as on the official website.  Once the Event Planning Chair has sent out an invitation via Eventbrite, the Marketing Chair will send the same invitation out via Facebook, Twitter and LinkedIn to optimize our turnouts.  This position will make announcements and updates through social media outlets & the website in a timely manner.

Ticket Sales/Table Sponsorships/Registration

The committee will be responsible for managing ticket sales and table sponsorships to the gala. Will work closely with Underwriting Sponsorship Chair/Sub-Committee Chair to track how many tickets/seats donors should receive and collecting the names of the individuals to add to the list of attendees.  The registration chairs/committee will assist in creating the seating arrangements at the gala and will also need to work the registration table at the events. 


VIP Reception Committee

Responsible for coordinating the following: site planning, décor, on-site activities, and logistics for the VIP Reception. Will meet with the site personnel to determine any restrictions, fees, logistical constraints, legal and insurance matters.  Will determine food and beverage needs for VIP reception and will negotiate and finalize the contract with caterers and beverage suppliers.
